Have I've Been Doing this WRONG Since 2018?

I try to stick to a procedure so I don’t skip a step. I usually wait until I have uploaded the scanbacks and ID’s. Waiting for the approval to drop is an after step. I don’t really think sit matters how you do it.

I do get companies that want me to not close out until I get approval to drop,but then I have companies bugging me right away for completion.

I don’t think there is a wrong way.

Job marked complete before I drive away. I don’t like the text messages that start up asking why I haven’t completed the order.

If the texts are coming prior to signing, I do the same. Some companies are antsier than others.

I try to keep control over my business and what works best for me. Many want scanbacks within 90 minutes so they can wait for the full completion.

Oh yes, I mark as complete immediately after the signing appointment is completed. Companies with this kind of system are studying METRICS. They want to know how long each step of the process takes. (Because they have Service Level Agreements (SLAs) they are obligated to meet for their customers.)

So if you wait until after the loan package is scanned and uploaded to their platform, it is absolutely going to skew metrics. Their system will interpret this to mean it took far longer than it actually did for you to complete each loan assignment.

P.S. I reread your OP… I believe there is a difference between marking a signing as COMPLETE vs marking it as CLOSED. I think as a notary, we only have the ability/permission to mark our signing as complete. The closing team has permission to mark as CLOSED. Bottom line, I guess make sure we understand the platform we are using and what the hiring company expects from us.

I do it your way. Sign, completion report, scan, wait, ship. In the completion report, I always type “All done! Scanning soon!” No one has ever come after me for that. I do however, get scolded for not waiting to ship when there are not clear instructions to wait, or if my next appointment has lots of travel and I’ll miss shipping if I wait for their approval. I got, “You’re lucky it worked out this time”.

No, I’m confident in my work. I go over page by page at my desk. I flag everything that needs to be filled in or signed with an arrow flag. I prefill and flag my notary sections with small post it notes. At the table, I do not move to the next document until I verify everything is filled out the first time. When doing the QC at the table, I do not remove the flag until I reverify everything is in place, clear dates included. The typical 140-160 page refi takes on average 30 minutes with the QC process. My error rate is also freakishly low.

Do I still get “What’s an ETA for scans?” minutes after marking complete with the “scanning soon” message? Sure do! I want to say, “It’s been 3 minutes since I got in my car. Breathe! We’ve worked together enough to know I’m not Becky Green Ears over here.” :rofl:

It’s just that when that title company rep called me thinking that I had shipped without having the scans reviewed and approved, it got me to thinking should I have been clicking the completion button AFTER I FedEx dropped? But then the more I thought about it, I’m sticking with the method that has been working since day one! SIGN, COMPLETION REPORT, SCAN, WAIT, FEDEX DROP. :smiling_face:
