I don’t know about anyone else but I think this is getting out of hand. I must have at least 5 per week. Appointments are either getting cancelled the night before, same day, or like what just happened now 2 hours before closing. There is really no way to replace the signing with such short notice and I’m sorry the $15 print fee we get is a joke. They are taking up a time slot that went from $85-$125 to $15. I have been doing this for 4 years and it seems to be getting worse not better. I hope everyone else out there is not having the same issues.

Out of curiosity – check your records. Is this happening repeatedly with the same hiring entity? Or, same lender?

I wish it was that simple. Doesn’t matter if it’s a signing service or a direct title company.

I’m not seeing this. Wondering…are you in an extremely oversaturated area? So, they continue to ‘shop for a bargain’ down to last possible moment? And it should be $25 print fee.

I have started booking other appointments in slots where there are no documents.

It’s almost always the same lender. And when they are re-scheduled I usually find out when the borrower got the CD they squawked and refused to sign and a loan officer had to re-work the numbers.

Just happened again this morning. 12:00pm Appointment and I get an email at 8:15 saying that it is being cancelled and rescheduled for next week. With only a $10 print fee. I already printed out all 241 pages. Icing on the cake is a turned down a simple refinance from Servicelink that paid $100, $25 less than the original one because it was scheduled at the same time.

I am service Montgomery and surrounding counties in PA. There are a lot of notaries in the area. From what I have read, the whole industry is oversaturated. Especially after Covid.

$25 has been standard print fee nearly forever. Think you need to start drawing some lines in the sand.

Wow that’s a lot of paper. I’d definitely ask for $25 which doesn’t even cover it but $10 is ridiculous.

For me, ready docs beat tentative docs every time. Only signings with ready docs get a time slot. For example: a scheduler calls at 11am for a 4pm signing, and actually knows the number of signers and the size of the edoc file. My fee is met and I accept the signing — however, docs aren’t ready yet. I’m only told docs “should” be ready in time for the 4pm appointment. Okay, nothing else on the books yet.

Then I get a call at 1pm for a different 4pm signing — also knows the edoc file and number of signers, and docs are ready and can be in my inbox right now. Ready docs get the appointment. I call the first scheduler back to see if the borrowers are flexible and can meet at 7pm instead — yes. Can you get docs to me by X time? Yes. Great, all worked out.

If the first signing is firm and non-negotiable at 4pm, I turn it back. No docs means a tentative signing — docs in my inbox get the appointment. I don’t sit around waiting for docs and tie up my whole day. I could get a call for GNW, which can be quite lucrative in CA, per notarization plus the travel fee - AND it’s instant payment. I’ll take that on the spot and cancel a loan signing with no docs and borrowers aren’t flexible on appointment time.

I am also seeing more last minute cancellations. Most are that the documents are not completed. I notate in my contacts list those companies cancelling, so as to turn down those offerings that could block out time for other real signings. That the documents are not finalized is from the shoddy and unprofessional who are booking signing; too often because they are scheduling to make their deadlines to fit their commissions pay. It is more often towards ends of the months. Having administrated mortgages for several regional banks, I never allowed my loan officers to schedule before all documentation was complete. Watch out for and avoid those title companies or lenders who mismanage their staff by allowing unprepared appointments. The time block loss of missing other real signings is never made up with the print fees.

I don’t consider appointment times blocked without documents.

I had an 11 am appointment today and left several messages and sent emails indicating I required documents by 9:30am and just left a message that I will not be handling this appointment.

I communicate deadlines for docs when I take orders. I used to keep time blocked but have since learned the onus isn’t on me, it’s on them.

</div>

I agree. Without documents ready, the appointment is tentative and should be replaced with a real signing. The loss is on the shoddy company.

My brother recently received a last minute assignment and then was called back and told it is a double assignment. The Lender wants the same notary for each so the other notary was unassigned. There are all kinds of circumstances where a signing is cancelled or rescheduled, that is just one instance. Sometimes a company loses the bid for an job and must unassign, sometimes the documents aren’t ready or have errors. There is no guarantee you will get the assignment when it resurfaces. I don’t print documents unless there is a set time and location and I ask what is the policy to print and show. Some companies only provide a $12 print fee, so $15 is living large.

Here is an email I put together moving foward:

Due to a recent increase in last-minute cancellations caused by delayed paperwork, I am now prioritizing appointments with documents that are ready on the day of closing. To manage my schedule effectively, any appointment where the paperwork is not ready within 4 hours of the scheduled time may be replaced with another confirmed signing.

I value our working relationship, but short-notice cancellations result in significant lost business. If an appointment needs to be rescheduled because the paperwork is unavailable, I will do my best to accommodate an alternative time. Otherwise, please feel free to reassign the signing to another notary if necessary.

Best regards,

Leonard Scarnato

$25 may cover the cost of the paper but it doesn’t also cover your time. Our time seems to be a forgotten commodity in all of this.

I Agree 100%. That is why even if they say it is a small packet but it is 45 minutes away I still counter at $90.
