Good morning everyone. I received an email out of the blue for a seller package from a title company in North Carolina. They asked me to notarize documents and asked what my fee would be. I responded and they immediately accepted. Then I thought, wow, that was too easy… maybe I could have asked for more. I will be driving 6 miles, only printing 15 pages and then take to FedEx. I quoted $125.
Moving forward… I wanted to enter this transaction in Signing Order, so I asked them for the order number. She asked ME what that was… a couple thoughts ran through my head;
1. Why does she not know that transactions would normally get a number assigned? So, I explained transactions would be assigned a number, that depending on their protocol- it could be a loan number, file number, etc.
2. My next thought was, maybe things are different in North Carolina.
(I tend to think of all the possibilities, sometimes over think)
But, the platform requires an order number. Has anyone experienced this? And if they have no order number, what should I enter there?
@cheryl_1_angel Hmmm . . . in a word, No, I haven’t experienced that scenario.
Review the document package as it may be found within it. If you discover no Signing Order # within those documents, search for the File #, etc. to utilize in this instance.
I would strongly suggest taking a bit of time to Research the Notary Cafe database for the name of the hiring entity before proceeding.
You may be able to ‘dodge’ a proverbial bullet . . .

I have searched the Law Firm that hired me. Nothing shows up that looks suspicious. I have searched the documents for a file number. The only thing I see is on the Warranty Deed there is a parcel number…and yes I have emailed them…waiting for an answer.
On direct orders from title companies I just make up an order number for invoicing. I track orders a couple of different ways. Was it supposed to be assigned through signing Order?
I don’t do this anymore, but back when I did, I would never have entered information about an order in a system like Signing Order unless I had received the order through that system. Why give information about MY customer to a system designed to make it easier for signing services to pay notaries less? Or maybe the order was some how connected to Signing Order right from the beginning, but cheryl_1_angel didn’t mention it.
Adding an external order to signingorder.com or snapdocs only helps you see how many orders you have completed and track any accounting info,if you use it for that purpose. People who hire you on those platforms only see how many orders you have been assigned and or completed for them. They can’t see orders you have done on those platforms for other vendors.
What you do off their system has no basis whatsoever in the standing you have on Signing Order. The only thing that matters to them is their official records.
Just a new note on this, Snapdocs now hires directly and will use your order count of what you’ve added. I have another signing company I work with and he commented on the order county I’ve had on Snapdocs, I too thought they could only see what was assigned through SD. Several of the companies I used to get through SD come to me directly now. I’ve been using their platform and another to review closings and calendar management. I limit the info entered, but ultimately track mileage and expenses like re-print and trip fees added.
Anybody can see your order count. If they google snapdocs notaries near me, it will pull up notaries and tell you how many orders you have completed through snapdocs. Where are you seeing that snapdocs hires directly now? According to their website they do not hire directly. Snapdocs is a software platform used by Title companies, lenders and signing services to hire notaries.
Way to go, girl! That’s direct for you . It’s higher than Signing Order lol, but since you are trying to reflect the number of closings you have done for experience’s sake, I can totally relate;
You will obviously not be able to forward this one directly like you would other signings gotten from the platform, so go ahead and manually input the job into Signing Order. Enter the name of the law firm as "New Customer ", save it, and now input as many details as you can like the contact info of the company, etc. That’s all you need and it will also help you track when you get paid !
Way to go for the direct! I didn’t know you could enter orders on Signing Order. I’ve been entering mine on Snapdocs for my personal tracking purposes.
Personally stop using Signing Order, Snap docs or any other as your personal accounting system. Nobody needs to know your personal business, how much you make, who it’s from other than you. Listing that private, confidential information open to the administrations out there with prying eyes is not good for you. They find out company names, fees offered, who their title companies are and a bonanza of other information none of their business. If other companies not using that platform find out could lose you their business and drop you fast. Clients are hard to keep, and you would be an internal leak. It may make it easier for you, but it really goes against everything we stand for as confidential keepers, and hurts that company you just worked for.
PS. Order numbers are not given all the time, especially for other documents other than loan docs. If no title company involved, just general notarization, you won’t see a number. I just reference by house number and street or last name date.
I get requests often from New York and NC and when I ask where did they find me, I am often told from this platform. I consider them direct client’s and have received additional work once we establish a relationship. The fees are better and the jobs are smaller and they pay quickly. I use Notary Gadget for my accounting. Hope this helps.
