Just curious what others keep with them that they find helpful.
I was just going to ask the same question! What is the ideal items to always carry in your bag?
I have:
- A few blank acknowledgements
- A 2025 recind calendar so I can easily see the right to cancel dates correctly
- Standard stuff like stamp, journal, pens, clip board etc…
@RickOShay @blayneharvey When I initially began providing these professional services I carried a small ‘notary bag,’ but soon discovered that the amount of supplies it held was insufficient.
Since that time, I’ve relied upon the Alpine Swiss Barrister’s Case:
It can be purchased for around $100 on Amazon. Enter the keywords ‘Alpine Swiss Rolling 17" Laptop Briefcase on Wheels Legal Size’ in the Search Field.
They’re well-made & durable. Many have complimented the case saying it looks like leather.
Here is a comprehensive list of the supplies I carry (in no particular order):
• Notary journal
• Notary stamps & embosser
• Specialty stamps; i.e., Jurat, Acknowledgement, etc.
• Blue as well as black pens
• Phone charger
• Business cards
• State-compliant loose certificates; i.e., Jurat, Acknowledgement, etc.
• Recission calendar
• Straight Edge (ruler)
• Driver’s License Guide
• Secretary of State Notary Guide
• Copy of Notary commission, bond, and insurance
• Post-It Notes pad
• Legal-size clipboard for a smooth, level hard surface
• Signature Guide for visually impaired
• Magnifying glass or sheet magnifier
• Lee Tippi gel fingertips
• Small flashlight
• Breath mints
• Liquid hand sanitizer
• Mini stapler
• Scotch tape
• Paper clips
• Binder clips
• Legal size envelopes
• A legal pad or paper
• A good map
• Sanitizer wipes
• Highlighter
• Swiss Army Knife (just kiddling)
Pretty standard I expect. Stamps - different sizes. Post It Notes. Pens. Quik Sort. Journal. Clips. Hand sanitizer. Extra forms. I keep a box in the bar with clipboards.
- A few stationery items, including both black and blue pens
- Five blank acknowledgements, individual acting for themselves
- Five blank acknowledgements, person signing as a representative
- Five verification upon oath or affirmations certificates
- Five Vermont oath/affirmation of office certificates
- Copy of notary commission
- Notary journal
- Ink stamp, embosser, and foil seals
- Portable scanner
- Spare batteries
- Laptop computer & accessories
Intentionally omitted: Oral oath/affirmation certificate. It’s so unusual, I’d want to think about it for each situation, if it ever happens.
Also intentionally omitted: Copy certification for a tangible copy of an electronic document. I’d have to figure out if I want to do that, whether I needed an electronic document special endorsement, and what the wording should be.
Pens: minimum of 3 each color
Few paperclips
Stamp
Mini stapler
Scanner if needed that day
Business cards
Small extension cord
Spare usb to usbc adapter. I plug usb into mybphone for file transfer.
Few notary certificates.
My embosser. Never need it but i remember where its at.
I travel as light as possible. Now i got to the point if Im going out and doing like a quick Mr. Cooper mod ill take just the documents in the shipping envelope and throw my stamp in my purse. Scan documents that are under 25 pages with my phone these days. My journalnis electeonic so no need to carry one.
I am in Washington state. My lockable notary case contains:
- Notary journal (a hardbound notary journal is required)
- Notary stamp
- Printed copy of Chicago Title Rescission Calendar
- Bottle of ink for notary stamp
- Blue/black ink pens
- Black Sharpie pen
- Spare notarial certificates
- Stapler/staples
- Hand sanitizer/PPE
- Metal clips/paperclips
- Post-It Notes
- Business cards
In my car trunk, I carry an all-in-one scanner/printer – in case borrower is required to provide photocopies of their IDs and they don’t have a printer.
I am not an LSA but I found this video helpful. Especially having the actual notarial tools I need in the locked bank deposit bag. When I deliver documents, I know the tools for just the notarial part is all in the smaller bag. I don’t have to remember where anything is at. https://youtu.be/2L6AuZUo_90?si=7X2RyMKnG0m934Ew
