Received a signing on a Friday for Saturday. Time was for 1:30. I confirmed. Scheduler said I would receive paperwork soon. Saturday comes. No paperwork. At 2:00 I text the scheduler and asks when will the paperwork arrive. No response. At 3:00 I went to another signing. At 3:30 I receive a text saying that the paperwork has been sent to me. I text back and apologized stating that I did not hear from you therefore I am not near the location and will not be able to make this signing and drop off at the cutting time. (I was 2 hours away). I felt bad as I never refuse, but was I supposed to wait around?
No, you don’t sit around - you don’t let your next client suffer because of it. However, you should have sent a message to scheduler before you left for your 3:00 telling them that since documents aren’t in, you have another appointment and reassign.
I have had that done to me, I did let them know I had another signing and if they had to resign the job it was okay with me.
Ok, hopefully this doesn’t happen again
One word: Communicate. Upon receipt of order, email or note on site the LATEST time you must receive docs. If you don’t have them 1-2 hrs. BEFORE designated latest time, a polite Reminder of cutoff time should be communicated. If you have other time constraints, tell them ASAP. Always in (self-defense) writing.
Most signing services don’t want you to nag them about documents until 2 hours before the scheduled appointment. I will usually respect that, unless the driving distance to the signing appointment is such that I really need the documents sooner than that. Depending on my schedule for the day, and the driving distance, I’ll sometimes wait until an hour before. When it gets apparent that I won’t be able to make the appointment at the scheduled time, I’ll let them know if I need to cancel. By that time I usually either have the documents or they have already cancelled on their end.
Honestly that’s on the scheduler, not you. If they go radio silent, you can’t just sit around all day - next time maybe set a clear “cutoff” time upfront.
