New Resource: American Notary USA Signing Company Payment Tracker

Many of us have experienced the same frustrating situation: we complete a signing professionally and on time, submit our invoice, and then wait far longer than expected | or struggle to get paid at all | by a signing service, title company, or platform.

American Notary USA has created a Signing Company Payment Tracker where notaries can report their real payment experiences with signing companies, title companies, and lenders. The goal is to create a shared, community-driven record of payment turnaround times, payment methods, and overall experiences so notaries can make more informed decisions before accepting work.

What it is

The tracker allows notaries to report information such as:

  • How long it took to receive payment
  • Whether payment was received in full
  • How payment was made
  • Whether the notary would work with that company again
  • Any recurring payment issues or patterns

The purpose is not to attack any company, but to help notaries identify patterns | such as companies that consistently pay late, require repeated follow-up, or have multiple reports of nonpayment.

Why this matters

Too many notaries quietly absorb late payments, reduced fees, or nonpayment because they do not want to create conflict or lose future assignments. But when many notaries share their experiences in one place, it becomes easier to:

  • Check a company’s payment history before accepting an order
  • Recognize repeated behavior across multiple notaries
  • Protect newer notaries from taking risky assignments
  • Encourage better payment practices across the industry
  • Reduce the isolation that comes from dealing with payment problems alone

This is especially helpful for mobile notaries and loan signing agents, who often complete work upfront and depend on timely payment to keep their businesses running.

Important clarification

This is not a class action and does not replace legal advice, invoicing, contracts, or formal collection efforts. It is a transparency and awareness tool created by American Notary USA so notaries can document and review payment experiences collectively.

Before posting or relying on a report, it is still important to keep your own records: confirmation of the assignment, invoices, emails, delivery confirmations, scanbacks, and payment records.

Where to find it

You can view and participate in the Signing Company Payment Tracker here:

American Notary USA describes the tool as a way for notaries to report signing-service payment turnarounds anonymously and quickly.

My take

I think this could be very useful for our community. Many of us already see posts about delayed or missing payments, but the information is scattered across different threads and platforms. A centralized tracker could help everyone see trends sooner and avoid companies with repeated payment problems.

If you have had a payment issue | or even a positive payment experience | consider adding your report. Accurate, factual reports from more notaries will make the resource more valuable for everyone.

Waiting to check a company’s pay history means you miss the order any way, so problem solved I guess.

FYI: As a general rule, most Professional Signing Agents [PSAs] will Accept a Signing Order [SO] from a business entity new to them with the contingency of the SO being returned to them - if a history of Non-Payment is discovered.

I’ve seen many complaints on this forum from people experiencing payment problems and delays, so I found this organization’s initiative interesting. In my opinion, it could come from the NNA, which could take a firmer stance against bad platforms and bad practices.

However, my colleague’s observation regarding due diligence and verification of this platform led me to discover this type of fictitious name creation with obscure intentions, false self-proclaimed trademark ownership, and guarantees that, after verification by the competent authorities, proved to be untrue.

@monikap :sparkles: Thank You :sparkles: for returning to your thread to provide further update regarding the lack of veracity (by American Notary USA). :smiling_face_with_three_hearts:

@monikap This ‘technique’ is regularly implemented by the unscrupulous; i.e., Non-Paying business entities, scammers, etc.
