Notice to all notaries weather affecting packages

I got a call from a signing service that I work with.
They said that three packages arrived from ups SOAKING WET
One of them was a package I completed.
They asked if I could have it resigned and will pay me twice
since it wasn’t my fault. Just a heads up notaries with all these
weather phenomenon you might want to use multiple wrappings
cardboard AND plastic express packaging

I usually use the plastic envelopes for UPS/Fedex especially during winter and hurricane seasons – exactly because of what you just encountered.

Just curious … your package was “SOAKING WET”. What packaging had you used? I ask because you recommend using both cardboard and plastic packaging. I would imagine plastic is sufficient. However, after your recommendation … makes me wonder.

I used the Ups express cardboard packaging.
That’s the one I order online, never had a problem with it before, but I guess new times we are living in. Can you also order the plastic ones?
I think they dropped it in snow or a puddle by accident

Yes, you absolutely can order the plastic packaging for free online with your account. That’s how I get all my packaging supplies.

Do they charge you for them?

Here, I just walk in and pick up a few at a time?
Plastic only. The cardboard one tears easily also, especially if you have a larger packet to ship.

Oh! That gotta be a bummer! It’s great you’re getting paid twice though for the re-sign. I always use those plastic Express envelopes (both for FedEx & UPS - I order them online through my account) because here in TX, the weather can be fickle, so I want to make sure the package arrives dry and intact. :slight_smile:

I like the structure that the cardboard envelopes have for the paperwork, so
now I’ll just use both: cardboard and then plastic to cover the cardboard.

This is why you need to use the Polypaks and not cardboard envelopes. The Polypaks are sufficient enough. Secure the documents with a binder clip neatly and place in a polypak. Fold the Polypak down close to the bottom of your docs or to the top depending on which end you put first.

I like the fed ex poly packs with the bubble things in them,
Does Ups have a similar one? I see the plastic one that is just limp
I don’t like to put paperwork in those, even with a binder clip. It’s too flimsy

They do have the bubble poly envelopes, you can order those as well online with your account.

Its actually a requirement with some companies and is placed in the notary instructions. Yes, UPS also has the same type of packages. Nothing will happen to the pacakge. People want to wrap them like christmas presents and shouldn’t. Remember, no one wants to struggle to open multiple layers of packages. The Polypaks are enough. They make binder clips large enough for bigger packages. Binder clips work. Do not rubberband.

The ups’s seem to be missing the polypaks so I think the best thing to do is use
the cardboard package and then put it in the plastic limp ones, nice and neat

Most Companies require me to use Plastic Paks. I never use cardboard. Just an FYI… You can order directly from UPS or FedEx

Oh good question i get them by the handful at the shipping center. I haven’t ever found them either.

By the way, the only company I ever worked with who required a box was Notaroo. Most companies don’t want the cardboard envelopes used. They are rated to 50 pages but I have only used for very small packages under 20 pages. And I tape the corners so the pull strings can’t get caught and pulled open. I’m going to go see if I can find the UPS polypaks.

There is no charge for them. But if you are walking into a UPS franchise, they may balk at giving you a big stack and may only let you have a couple at a time. That is my experience with them, anyway. https://www.ups.com/us/en/shipping/order-supplies.page here is where notaries can go to sign up and order shipping labels/envelopes.

Those Polypaks are actually very thick and sturdy. The packaging will not rip and it’s required to use by the majority of the Lenders. Envelopes can tear and rip and mess up your docs. Place in a polypak to keep from having to re-sign papers.

yeah I can see where the cardboard ones are, but the polypak is not on the website . so I guess I’ll just get them at the shipping center. Thanks :wink:
